What is a custom email domain?
By default, homeowner report emails are sent from HomewatchIQ. With a custom email domain, emails send from your own domain — for example hello@yourcompany.com — so homeowners see your brand, not ours.
Step-by-step setup
- Go to Settings → Email Settings → Custom Email Domain
- Enter your From Name (your company name as it appears in emails)
- Enter your Email Domain — use a subdomain like
mail.yourcompany.com - Click Save & Get DNS Records
- You will see 3 DNS records — add all 3 to your domain registrar
- Wait up to 48 hours for DNS to propagate
- Return to the same page and click Verify DNS Records
- Once verified, all homeowner emails will send from your domain
The 3 DNS records to add
| Type | Record | Purpose |
|---|---|---|
| TXT | DKIM | Email authentication — prevents spoofing |
| MX | SPF | Bounce handling — required for delivery |
| TXT | SPF | Spam prevention — improves deliverability |
Tip: Use the Copy buttons in the dashboard to copy each record value exactly — typos are the most common cause of verification failures.
Which subdomain should I use?
Always use a subdomain, never your root domain. Good options:
mail.yourcompany.comemail.yourcompany.comsend.yourcompany.com
How long does DNS propagation take?
DNS changes typically propagate within a few hours but can take up to 48 hours. If verification fails after 48 hours, double-check that all 3 records are added exactly as shown in the dashboard.
How do I add DNS records at my registrar?
The process varies by registrar. Here are links to DNS guides for common providers:
